In short: NDCA is an ACCA-regulated accountancy practice that prepares monthly or quarterly management accounts for UK limited companies and sole traders on Xero. Each pack includes profit and loss against budget, a balance sheet, your cash position, key figures and a short commentary on what changed. A named accountant talks you through the numbers each time.
Management accounts should answer real questions: are margins holding up, can the business afford to hire, is a product or project actually profitable, how much cash is there right now and is performance ahead of or behind last year. Annual accounts answer those questions ten months too late.
We work primarily on Xero and charge a fixed monthly fee so you get the figures every period without thinking about the cost.
What our management accounts service covers
A named accountant prepares your management accounts on a fixed cycle, tailored to your business. That includes:
- Profit and loss statement against budget and prior year
- Balance sheet with debtor, creditor and cash analysis
- Cash position and short-term cash forecast
- KPI dashboard built around your key metrics
- Gross margin and overhead analysis
- Department, project or property profitability where applicable
- VAT and corporation tax accruals so liabilities are visible in real time
- Director’s loan account position for limited companies
- Variance commentary explaining what changed and why
- A monthly or quarterly review call with your accountant
Not every client needs every report. We tailor the pack to your business, and our guide explains what a management account is in more detail.
If you also need bookkeeping, VAT, payroll or year-end accounts, we handle all of it under one fee and the year-end becomes a formality because the management accounts have already been signed off period by period.
How NDCA works
What you can expect:
- Fixed monthly fee
Management accounts are not billed per pack or per hour. They are built into the fixed monthly fee we agree when you join, covering monthly or quarterly reporting for a predictable cost. The exact fee depends on reporting frequency, complexity and what else is bundled in, and we confirm it before you come on board. - Direct answers from your accountant
A named accountant prepares your accounts and walks you through them. No ticket queue. We normally reply the same day, and the review is a real conversation about what the numbers mean, not a dispatched report. - Built around the decisions you actually make
Generic management accounts are a stack of paper. Useful management accounts are built around the decisions an owner is making, whether to hire, whether to put up prices, whether the next project is profitable, whether to take a dividend now or wait. We tailor the report to the questions you are asking.
Cloud accounting that keeps your numbers current
Good management accounts depend on good bookkeeping behind them.
NDCA uses Xero and connected apps to keep your accounting records organised, reconciled and accessible. When the bookkeeping is current, we can produce management information you can actually rely on, not a report built on stale data.
If you are not yet on Xero, we migrate you across as part of onboarding. If you are already there, we plug straight in.
Apron for invoice capture
Costs are captured digitally and recorded promptly, keeping your management accounts based on current data.
Snap a photo of a receipt or forward a supplier invoice, and it is recorded straight into your accounts. Records stay accurate and organised.
Who we work with
NDCA management accounts clients fall into a few groups:
- Growing limited companies moving past their first year of trading
- Owner-managed businesses around £200k+ turnover, where decisions are getting harder to make from memory
- Businesses preparing to hire, expand or take on new premises
- Companies with multiple revenue streams or channels to track separately
- E-commerce and retail businesses managing margin across products and channels
- Technology, SaaS and AI businesses tracking burn, runway and unit economics
- Agencies and professional services firms managing project and retainer profitability
- Hospitality businesses with tight margins and seasonal cash flow
- Construction and trades firms with project-level profitability questions
- Businesses preparing for a sale, investment round or funding application
Landlords and smaller, simpler businesses can benefit from monthly figures too, though this service is built primarily around growing and multi-revenue businesses. If you are not sure whether it fits, send us your numbers and we will tell you honestly.
A worked example: what a monthly pack shows
Say March sales were budgeted at £75,000 with a 42% gross margin, a gross profit of £31,500. Actual sales come in at £80,000, but supplier price rises cut the margin to 36%, so gross profit is £28,800.
Sales beat budget by £5,000, yet gross profit is £2,700 below it. Year-end accounts would show this months later. The monthly pack shows it in time to review your prices or supplier terms.
Flying blind without management accounts?
Most owners only see real numbers once a year. Monthly management accounts close that gap. Send us your details to get started.

Switching from another accountant
If you already have an accountant and your management accounts arrive late, in the wrong format or not at all, switching is simpler than people think. We send your current accountant a professional clearance letter, collect your records and pick up where they left off. How long it takes depends mainly on how quickly your previous accountant sends the records across, and we keep you updated throughout.
You do not need to wait for year-end. You do not need an awkward phone call. We handle it.

Management accounts are a set of financial reports produced during the year, usually monthly or quarterly, that show how the business is actually performing right now. They typically include a profit and loss statement, a balance sheet and a view of your cash position, reviewed with commentary from your accountant. Our guide on what a management account is goes into more detail.
Management accounts are interim reports for running the business during the year. Annual accounts are the statutory year-end set filed at Companies House and used for tax. Annual accounts are about compliance. Management accounts are about decisions.
Monthly for most growing businesses, where the cost of waiting a quarter to see a problem is greater than the cost of monthly reporting. Quarterly for smaller or steadier businesses. We agree the cadence with you at onboarding.
At a minimum, trading results compared with budget and the prior year, a balance sheet and a cash position. Most packs also include a KPI dashboard, gross margin analysis, debtor and creditor ageing and variance commentary explaining what changed period to period.
Yes. Monthly or quarterly figures give you a clearer view of profit, cash and liabilities during the year, so problems surface early. Lenders and investors may also ask for recent management accounts when assessing finance or investment, and having current, well-presented figures ready can help you respond quickly. The same visibility gives you and your accountant more time to consider relevant tax planning before year-end.
