Accountant for Amazon FBA sellers UK
Amazon FBA accounting is different from ordinary bookkeeping. Settlement payouts combine sales, refunds, fees, advertising and VAT, so your accounts need to reconcile back to Amazon, not just the bank.
In short: NDCA is an ACCA-regulated accountancy practice for UK Amazon sellers, including FBA. We reconcile settlement reports through Xero and A2X, handle VAT, stock and fees and prepare your Self Assessment or limited company accounts. Your agreed services are covered by one fixed monthly fee, with a named accountant who knows your numbers.
NDCA works with sellers from your first FBA shipment through to multi-marketplace accounts trading across Europe. We handle bookkeeping, VAT, Corporation Tax and Self Assessment.

How Amazon FBA sellers get paid
Amazon settles your money on its own schedule, after its own deductions, which makes your bookkeeping look nothing like a normal sales ledger.
Settlement payouts
Amazon settlement reports contain far more detail than the amount reaching your bank: sales, refunds, referral fees, FBA fulfilment fees, storage charges and advertising spend are all netted off first. We reconcile each report line by line.
FBA, FBM and Amazon Business
Many sellers run Fulfilled by Amazon and Fulfilled by Merchant stock side by side, and Amazon Business orders can carry different VAT and invoicing considerations to ordinary consumer sales. We keep all of it separated and correctly recorded.
Multi-marketplace and Pan-European FBA
Selling across amazon.co.uk, amazon.de, amazon.fr and other European marketplaces or using Pan-European FBA, can create additional VAT obligations depending on where your stock is stored and where you sell.
Private label and bundles
If you manufacture or bundle your own products, your true margin depends on properly tracking cost of goods sold, including freight, import duty and other directly attributable costs.
We also handle your VAT returns, bookkeeping and Self Assessment and if you also sell on Shopify, see our e-commerce and retail hub.
Tax and VAT for Amazon FBA sellers
Amazon VAT rules depend on where you are based, where your stock is held and who you sell to, not just turnover.
VAT registration
UK VAT registration is generally required once your taxable turnover exceeds £90,000, though treatment is more complex for imported, overseas-stored or multi-country sales. Overseas sellers holding UK stock can have obligations from their first sale, and Amazon’s own marketplace rules may also apply.
Marketplace facilitator rules
Amazon may collect and remit UK VAT on certain transactions under marketplace facilitator rules, but this does not remove every obligation, particularly if you hold UK stock or use fulfilment centres elsewhere.
Stock and cost of goods sold
Unlike a service business, your accounts need to reflect stock on hand, not just cash in and out. We track cost of goods sold, including landed costs such as freight and duty, so your margin figures are real.
Sole trader or limited company
There is no fixed income level at which becoming a limited company automatically makes sense. The right structure depends on your profits, personal income needs, other income, how much you plan to leave in the business and your longer-term plans. NDCA can compare the options using your actual figures.
How NDCA works
What you can expect:
We work with Amazon sellers specifically, so we already understand settlement reports, FBA/FBM stock and multi-marketplace VAT. You pay one fixed monthly fee, your numbers stay current in Xero, and you get a named accountant who normally replies the same day.
The software we use: Xero and A2X
Modern tools built for how Amazon actually pays sellers.
We run your bookkeeping through Xero, connected to A2X, which breaks each Amazon settlement down into sales, refunds, fees and VAT rather than one unexplained lump sum. We also use Apron to capture your receipts and supplier bills and send them into Xero. NDCA is ACCA-regulated.
Amazon FBA accountants across the UK
NDCA works remotely with clients across the country, wherever your business is based.
Amazon settlement statements a mess?
Fees, refunds, VAT and ad spend all reconciled properly, every settlement period.

Switching accountants is easier than you think
NDCA handles the switch for you. We contact your existing accountant, request professional clearance, arrange the transfer of your records and handle the necessary paperwork. How long it takes depends mainly on how quickly your previous accountant sends the records across, and we keep you updated throughout.
Amazon seller tax at a glance (2026/27)
View the key tax figures
| Income covered | Amazon sales, less referral fees, FBA fees, refunds and advertising |
|---|---|
| Trading allowance | If your total trading sales are £1,000 or less in a tax year, you do not need to declare them. Above that, you can deduct £1,000 instead of your actual costs and must register for Self Assessment by 5 October after the tax year ends |
| Platform reporting to HMRC | Marketplaces have collected seller income details since January 2024 and send them to HMRC each January. Sellers with fewer than 30 sales and €2,000 or less in a calendar year are excluded |
| VAT registration | Compulsory above the £90,000 threshold |
| Marketplace VAT | The marketplace accounts for UK VAT on goods sold by overseas sellers from stock held in the UK, and on imported consignments of £135 or less |
| Stock held in the EU | Storing stock in an EU country, for example through Pan-European FBA, usually requires a VAT registration there |
Figures are for the 2026/27 tax year and were checked against GOV.UK guidance. Income Tax and Corporation Tax rates are on our e-commerce accountant page.
Amazon FBA seller accounting FAQs
Our fees start from £95 plus VAT a month for limited companies, with no setup fee. Self Assessment starts from £245 plus VAT as a one-off fee. You receive a fixed quote at the end of your free 30-minute call, based on your turnover, transactions, VAT, payroll and number of directors. Any records alignment or bookkeeping catch-up is quoted separately in writing before work starts.
Yes, once your UK taxable turnover passes £90,000 in any rolling 12 months or you expect turnover in the next 30 days alone to go over £90,000. Storing stock in other countries or importing goods adds further VAT obligations, which we review with you.
Only in some cases, such as overseas sellers with UK stock and low-value imports. A UK-established seller charges and pays its own VAT on UK sales once registered.
Yes, if you store stock in EU countries, for example through Pan-European FBA. Holding stock in a country usually means registering for VAT there. We review your stock locations and movements before advising on registrations.
It depends on your profits, how much you take out and your plans for the business, so there is no single figure. We compare both structures using your real numbers before you decide.
Amazon selling fees, FBA fulfilment and storage charges, advertising, the cost of stock, freight and import duty are allowable business costs. Import VAT is reclaimed through your VAT return if you are registered, rather than claimed as an expense.
