If you are already VAT registered but VAT is not showing up when you sign in to your HMRC business tax account, you need to add it as a service on your Government Gateway account. This is a separate step from VAT registration itself, and it catches a lot of business owners out — especially if an accountant or agent handled the original registration, or if you have more than one Government Gateway sign-in for different taxes. This guide walks through exactly how to do it.

What you’ll need before you start
Have these to hand before you log in, and the process is usually a five-minute job:
- Your Government Gateway user ID and password (or your GOV.UK One Login details, if you registered that way) for the business tax account you want to add VAT to
- Your 9-digit VAT registration number
- The postcode of the address HMRC holds on file for your VAT registration — this needs to match exactly
- Your VAT registration certificate or confirmation letter, in case you need to check any of the above
- The date your VAT registration became effective
If you don’t already have a Government Gateway user ID or GOV.UK One Login for your business, you’ll need to create one first at gov.uk before you can add any tax to it.
Which situation you’re in
How you add VAT depends on how you were registered in the first place.
You registered for VAT online yourself
If you completed VAT registration through your own Government Gateway account, VAT is often added to that account automatically once HMRC processes the registration. In that case you may not need to do anything — it’s worth checking your business tax account first before assuming you need to add it manually.
Someone else registered you, or VAT isn’t showing on your account
If your accountant registered you for VAT, if you registered by post, or if VAT simply isn’t appearing when you sign in, you’ll need to add it manually using the steps below. This is also the situation if you have separate Government Gateway sign-ins for different taxes and want VAT visible alongside the others in one place.
How to add VAT to your Government Gateway account, step by step
Step 1 — Sign in to your business tax account
Go to gov.uk/log-in-register-hmrc-online-services and sign in with the Government Gateway ID or GOV.UK One Login details for the account you want VAT added to. Use the same sign-in details you used when you first registered a business tax — a different login means a different account, and HMRC treats them as entirely separate.
Step 2 — Find the option to add a tax, duty or scheme
From your business tax account home page, look for an option along the lines of ‘Get online access to a tax, duty or scheme’, then ‘Add a tax, duty or scheme now’. HMRC updates the wording and layout of this screen from time to time, but the option to add or remove a tax is always available from the main business tax account menu.
Step 3 — Select VAT
Choose VAT from the list of taxes, duties and schemes on offer.
Step 4 — Enter your VAT registration details
You’ll be asked to confirm details that match your VAT registration exactly, typically your VAT number and the postcode HMRC holds for the business. Enter these carefully — a mismatch, even a small formatting difference, is the most common reason this step fails.
Step 5 — Review and submit
Check the summary screen against your VAT registration certificate. If everything matches, confirm and submit. If something is wrong, go back and correct it before submitting rather than continuing and trying to fix it afterwards.
Step 6 — Wait for confirmation
In many cases VAT appears on your business tax account within a few minutes of submitting. In some cases, particularly where HMRC cannot verify your identity against the details given, they will post an activation code to your registered business address, which can take up to a week or so to arrive. Once you receive and enter it, VAT will be added and active on the account.
Do you also need to sign up for Making Tax Digital?
Adding VAT to your Government Gateway account and signing up for Making Tax Digital (MTD) for VAT are two different things. Since April 2022, MTD has applied to all VAT-registered businesses, meaning VAT records need to be kept digitally and returns filed through MTD-compatible software such as Xero, rather than typed directly into the old HMRC portal. If you haven’t used MTD-compatible software to file a VAT return before, you may still need to sign up for MTD separately and connect your software before your next return is due. Your accountant or bookkeeper can confirm whether this step has already been completed for your business.
Letting your accountant manage VAT for you
If you’d rather not deal with Government Gateway logins and HMRC portals at all, you can authorise an accountant or agent to manage VAT on your behalf. This is separate from adding VAT to your own account — it gives your accountant access through their own agent services account, while you keep your own login for anything you want to check yourself. At NDCA, this is part of how we handle VAT returns for clients: once authorised, we register, file and manage VAT deadlines without you needing to touch the Government Gateway portal.
Common problems and how to fix them
The postcode doesn’t match
This is the single most common reason the process fails. HMRC checks the postcode against what’s on your VAT registration exactly, including formatting. If you’ve moved premises since registering, or if your VAT certificate shows a different address to the one you’re typing, update your details with HMRC first or use the postcode shown on the certificate.
You don’t have a Government Gateway account at all
You’ll need to register for one before you can add any tax. Go to gov.uk, select ‘Create sign in details’, and follow the prompts — you’ll be asked to verify your identity, so have photo ID and a way to receive a confirmation code ready.
You have more than one Government Gateway ID
It’s common for business owners to end up with separate sign-ins created at different times — one for Self Assessment, another set up later for the company. VAT can only be added to one account at a time, so work out which login you actually use day to day before adding it, or you’ll end up checking the wrong account.
Your accountant is already linked, but you still want your own access
Having an agent authorised to manage your VAT doesn’t stop you from also adding VAT to your own business tax account. The two can run alongside each other, so you can still view your VAT position yourself even if your accountant handles the returns.
Frequently asked questions
How long does it take to add VAT to a Government Gateway account?
Often just a few minutes if your details match immediately. If HMRC needs to post an activation code, allow up to a week or so before VAT becomes active.
Can I add VAT before my VAT registration is fully confirmed?
No. Your VAT registration needs to be confirmed by HMRC first, with a VAT number issued, before it can be added to a Government Gateway account.
Do I need a new Government Gateway account to add VAT?
No, in almost all cases you add VAT to an existing account rather than creating a new one. You’d only need a new sign-in if you have never used any HMRC online service before.
What if I entered the wrong details and the request was rejected?
You can try again with the correct details. If it keeps failing despite everything matching your VAT certificate, contact HMRC’s VAT helpline directly, as there may be a mismatch on their systems that needs manual correction.
Can my accountant do this for me?
Your accountant can be authorised as your agent to manage VAT without needing your Government Gateway login, which is usually simpler than sharing your own sign-in details. If you’d rather hand this off entirely, we can register and manage VAT for you as part of our standard service.
